To effectively co–ordinate the voids and allocation process across all tenures to let properties to customersand drive continuous improvement, working closely under the direction of the Voids and Allocations Manager. Ensure empty properties are efficiently and effectively processed, appropriately let and void loss is minimized and 'hard to let' issues are reviewed and resolved.Key Responsibilities Manages all aspects of the forthcoming void – 'Key to Key' void management and housing allocation process (lettings, transfers, and voids) processes across tenures. Ensuring that the 4–week notice period is adhered to – maximising this time to minimise void turnaround. Understand 'hard to let' issues and find solutions to address this Ensures suitable nominations and referrals are obtained from local authorities and other agencies and that they are in line with our allocations policy Arranges financial assessments with colleagues, taking into account the Local Housing Allowance guidelines Works with the void contractor and void surveyor to ensure that access to void properties are controlled Identifies lettings route of the void by facilitating and attending, when possible, pre–void inspections with the void surveyor Monitors properties that require clearance and where meters have debts and arrange for these to be cleared to minimise void loss time Manage choice–based lettings through the Locata partnership, including producing property adverts and working the shortlists. Ensuring property information in advert is clear and precise. Provide support to enable vulnerable applicants to bid for properties on the Locata system, placing direct bids if necessary Deliver seamless customer service, and manage an efficient and successful voids process, viewings and sign–ups in partnership with colleagues across Octavia Carry out accompanied viewings with prospective new customers, especially where undesirable properties have been identified. Virtual viewings to be sent to prospective customers to maximise the number of customers invited to view a property, and when more than two property viewings have been attended by the Voids and Allocations Coordinator Receives verifications for incoming customers from partner Local Authorities as part of the nomination process identifying cases where there are concerns over suitability. Raising any concerns with the Voids and Allocations Manager Request and provides verification information for incoming customers to Octavia and for outgoing Octavia customers Assist with the internal transfer service including identifying transfer options for under occupying households, management transfer, successions and decants and the annual review of cases Promote and manage mutual exchanges, liaising with customers, colleagues and external partners to ensure applications are processed efficiently and permission granted in line with legal requirements and timescales Co–ordinate and attend resident events as required Review and scrutinise incoming residents' ability to maintain a tenancy and liaise with colleagues where there may be risks ensuring a support management plan is in place Work closely with colleagues across Octavia to effectively manage complex housing cases to ensure successful lets including decants and management transfers where appropriate Assist the Voids and Allocations Manager with the management of the deposit–protection scheme for IMR and Student Lettings and 3rd party stakeholder relationships for private rented schemes Assist the Voids and Allocations Manager with reviews, as needed with allocations and voids procedures and guidance, and nomination arrangements to ensure that they are fit for purpose Carry out all administration necessary including maintenance and inputting of information into systems and data bases in relation to the above activities and provides reporting data to other teams To ensure that all systems is fully update on the status of the void/let property on QLX, Voids module Work as a member of the Customer and Communities department. Attending patch meetings arranged by the Customer Housing Leads.
