Their UK Headquarters are based on the outskirts of Kingston where they currently have a vacancy for an HR Assistant, a role that will mean working alongside the HR Manager and assist them with the delivery of the people strategy to meet organisational and departmental objectives as well as actively support the operation of the business by delivering an effective, proactive and professional HR service and a summary of day to day duties appear below:-
Co-ordinate recruitment and selection activities
Liaison with recruitment agencies and other suitable sources
Updating the HR System
Liaising with applicants and managers
Ensuring that costs are minimised and all stages within the Selection Process are undertaken in a timely manner
Carry out interviews (where appropriate) together with managers, senior management and HR Manager
Ensure candidates receive an excellent service throughout the recruitment process and that the Company is represented in a professional manner
Manage the new starter process including Contract Pack preparation, background screening, preparing induction folders and creating role specific familiarisation programmes with the manager
Develop, co-ordinate, monitor and evaluate staff induction
Carry out the HR 3 month review process with employees
Co-ordinate and manage student work experience programmes across all sites including liaising with appropriate educational body, creation of work experience itinerary, induction of student.
Process monthly payroll (liaison with the payroll bureau regarding all payroll adjustments and queries & ensuring that payroll adjustments are accurately reflected in the HR system)
Liaise with benefit providers and brokers to ensure that employee information is accurately maintained and audited, timely notification is given regarding starters and leavers and costs are managed
Process monthly staff salary exchange schemes including pension, gym membership, childcare voucher, cycle to work in accordance with required timescales and procedures
Respond to queries and provide advice and guidance to employees and managers relating to reward, including remuneration, employee benefits and payroll;
Produce all staff correspondence including amendment to contracts and benefit confirmation letters
Assist in the provision of monthly and adhoc MI reports including workforce statistical data, performance, staff survey, recruitment and absence management;
Support the HR Manager in the annual salary review and bonus process;
Undertake regular salary reviews and benchmarking exercises to ensure that the Company rewards its employees fairly, that salaries are internally equitable as well as competitive in the marketplace at all times;
Maintain and update employee records, electronically ensuring accuracy of data and that it is updated and securely filed in accordance with the Data Protection regulations and legal requirements.
Ensure that HR policies are implemented fairly and consistently and that the core values of the Company are upheld and to promote and maintain fair and reasonable standards in the treatment of people at all times
Provide advice and guidance to managers to support them with any issues such as poor performance, flexible working requests, attendance management to improve their independence and management skills in these areas
Assist in staff absence processes in relation to holiday reconciliation, maternity, adoption, parental, paternity and shared parental leave ensuring staff and managers receive appropriate documentation and are advised on entitlements etc.;
Manage all long term absence.
Undertake the leaver process including arranging leaver surveys and distribution of results;
Promote equality and diversity as part of the culture of the Company and liaise with a range of organisations to promote fair treatment and a positive work environment.
Manage the process for employee loyalty rewards ensuring certificates and employee rewards are implemented within the required timescales.
Ensure that employee risk assessments are carried out in a timely manner for pregnant women, display screen equipment, long term absence returners, employees suffering from specific medical conditions etc
Arrange employee SHE training as required ensuring HR systems records are kept updated in a timely and accurate fashion
Arrange external health surveillance checks for technical staff and maintain records;
Support for the Company Performance Management Review Scheme, ensuring that learning and development needs identified during the process are followed up and actioned with managers within budgetary constraints;
Monitor and report on all learning activity employee evaluations undertaken in order that all activities meet the requirements of the individual and the Company;
Monitoring and organising employee learning activities including responsibility for the HR library and on-line employee training activities ensuring that management authorisation is obtained, costs are minimised and budgets are maintained.
Support and contribute to the planning and implementation of the Human Resources strategy and policy
Assist in the development of allocated policies, procedures, guidance and other documents to reflect HR policy arrangements, ensuring compliance with legislation, organisational fit and best practice;
Manage additions and amendments (as content author) of all HR policies, procedures and forms
Assist in maintaining a network of internal and external contacts and to research best practice in order to bring forward ideas for continuous improvement in relevant policy areas.
Participate in HR projects
