Description

Our client, a membership organisation in the healthcare sector is looking for an EA to support their very driven and ambitious CEO. The role is a hybrid opportunity, with 2 days working in the Central London office and 3 days from home.

Please note, to be successful in this role, you will need to have worked at CEO level before and worked with and supported a Board including minute taking.

Providing executive support to the Chief Executive including:

Coordinate complex scheduling and extensive calendar management Preparing for meetings, including preparing agendas, collating relevant papers Oversight of inbox, flagging outstanding items and actions, where appropriate replying emails Organising, attending and minuting external and internal meetings as required and supporting with follow-up actions Fielding calls Effective filing of reports, meeting papers and emails Maintaining contact lists Obtaining and updating relevant information from our CRM system Maintaining accurate records and filing systems Providing general administrative support as required Occasionally supporting with travel and accommodation bookings (please note that the CEO usually arranges their own travel and accommodation) - but maintaining the logistics after booking is essential Providing support for corporate projects as required. Liaising with members of the board. Collating papers for meetings of the board, drafting board agendas, attending meetings and producing minutes of board meetings. Providing secretariat services to agreed and approved organisations and fora. Responding to telephone and email enquiries referring detailed and complex enquiries to the most appropriate member of staff or to external organisations. Referring media enquiries promptly and efficiently to the relevant staff, Director, or the Chief Executive. Use office equipment safely and efficiently, including computers, computer applications photocopiers, and other equipment. Ensuring that contact with members and others portrays a consistently professional standard, which is in line with the organisation's principles. Using the CRM system to produce lists of members and contacts and exporting and updating other data as appropriate. Reporting and KPIs Keeping a record of annual meetings and speaking engagements to inform Impact report Supporting with the logging of statistics for KPIs and assisting with the production of KPIs as part of the preparation of information for the Board. Contacts and Relationships (customer focus, both internal and external), All staff, Chairperson, officers and other board members, members and non-members, General Public, Local and Central Government staff, Stakeholders and staff in related organisations Demonstrate confidentiality when dealing with matters of a sensitive or personal nature.
