Overall Job Purpose:
Providing core administrative functions to support the work of the business. Ensuring
efficient and effective support is provided and that business needs are
prioritised and managed effectively.
Duties & Responsibilities:
Customers Services Support:
Communication with customers taking orders, queries, complaints, via phone, email, and salesforce.
Order processing.
Communication with relevant supply division.
Ensure required feedback to customers is completed within the set time frames.
Prepare reports and letters for customers as required.
Ensure KPI and SLA's are met within the agreed timeframes.
Reception Support:
Support main reception activities.
Meet and greet visitors and ensure health and safety procedures are observed.
Communicate the arrival of visitors to the relevant person.
Sign for deliveries
Maintain personal files by filing and scanning daily paperwork.
Processing of stationery orders.
Production & Operations Support
Communication with relevant production divisions and managers as required.
Produce productivity data on a weekly basis.
File and review active ISO procedures.
Maintain order fulfilment data.
Prepare reports and letters as required.
Support dairy arrangements and travel.
Create and analyse specific customer data as required.
Provide core administrative functions to support the work management.
General Support
Raise purchase orders using Sage
Record products in stock using Sage
Support internal and external post
Order stationary
Ad hoc support to Administration Manager
To highlight issues of an urgent nature to Admin Manager
Essential Skills and Behaviours required for Success

Strong Excel skills.
Excellent communication skills - to include written and verbal skills.

Excellent quality management and accuracy focus in all types of administration.
Good organisational skills with a detailed and structured approach to work.
Ability to appraise situations quickly and react accordingly, considering fluctuation workloads and deadlines.

Ability to multi-tasks and be resilient in a high pressured and fast paced environment.
Professional Experience/Preferred
Administration experience in a Sales or Customer facing Contact Centre environment.
Outbound calling - soft selling skills.
Proven experience in the ability to meet robust targets that focus on customer care and accuracy.
Experience in the consistent use of different systems and Microsoft software packages.
