Job Overview:

We are seeking a detail-oriented and organized Administrator to join our dynamic team for our Fire & Smoke Division. As an Administrator, you will play a vital role in supporting the day-to-day operations of the company, ensuring efficient administrative processes, and contributing to the overall success of our fire and smoke safety services.

Key Responsibilities:

Client Communication:

Serve as a point of contact for client inquiries, providing excellent customer service. Coordinate client meetings and follow-up communications. Manage and maintain client databases and records. Documentation and Record Keeping:

Prepare and organize company documents, reports, and correspondence. Maintain accurate and up-to-date records of client contracts, service agreements, and other important documents. Assist in the preparation of proposals and project documentation. Support to Technical Teams:

Coordinate schedules for technical teams and field personnel. Assist in the preparation of project materials, reports, and documentation. Communicate effectively with technical staff to ensure seamless project execution. Updating notes on the system. Logging engineers in/out of jobs on the system. Ordering parts for engineers. Liaising via phone and email with in-house engineers, sub-contractors, suppliers and clients. Assisting engineers with admin duties such as updating job tickets, uploading compliance, signing engineers in/out of jobs. Health and Safety Compliance:

Ensure that company personnel have the necessary certifications and training. Support the implementation of safety protocols within the office environment. Qualifications:

Proven experience as an administrator or in a similar role. Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Proficient in Microsoft Office Suite and other relevant software. Detail-oriented with a focus on accuracy. Benefits:
