Job Summary
To provide high quality administrative support to the Buying Manager Team
Key Responsibilities Business Analysis Assist Buying Manager with business needs/tools to include reports (sales, vendor), spreadsheets and any other required data Complete special projects and perform analysis as needed when requested by Buying Manager Coordinate and prepare all necessary information (pre and post) for both internal and external meetings to include business meetings, store/market visits, vendor meetings, appraisals, strategy meetings and presentations. Attend such events as needed to make notes, summarise and follow up with outcomes of the meeting Administrative support Coordinate Buying Manager's weekly itineraries, diary management and travel arrangements, partner with Buying Director Secretary as needed to coordinate divisional trips and meetings Maintain department calendar including trade shows, strategy meetings, walkthroughs, other business meeting, appraisals, team holidays etc. Coordinate with Buying Manager Assistants in other divisions to manage trade show attendance, distribute strategy and plan for the show and summarise outcome of show to distribute to all relevant parties Liaise with Buyers Administrator to collate Buyers itineraries and travel plans Assist and support Buying Managers and Buying Manager Assistants from and in other buying offices Organise and prepare expense reports, collate and manage receipts Support the Buying Manager with general administration (post, faxes, photocopying, troubleshoot technology issues etc). Set up new buyers - hardware, induction programme, etc. Facilitate meetings - book rooms on and off-site, arrange refreshments, communicate with global team regarding details Cover phone calls when Buying Manager is out of the office Process invoices on Oracle Emergency situations - support the Buying community with any help needed in emergency, crisis or unexpected circumstances Maintain confidentiality Key Skills, Knowledge & Experience
Essential Educated to a minimum of GCSE standard Proven extensive administrative experience or Buyers Assistant experience PC literate with intermediate computer skills Strong analytical skills Good coordination and problem solving skills Effective influencing skills Ability to work under pressure while maintaining a calm, positive and professional demeanour Excellent communication skills, both verbal and written Strong interpersonal skills, ability to form and maintain relationships with people on all levels Demonstrates flexibility and ability to adapt to an ever-changing and diverse environment Able to juggle a number of constantly changing priorities and multitask in a high volume and fast paced environment Independent, able to work effectively without close supervision Committed and reliable Excellent attention to detail Task oriented, aware of deadlines Self starter, self motivated, fast learner Ability to represent the company in a professional manner Able to maintain confidentiality to the highest level Desirable Administrative retail experience Language skills Ability and/or interest in travel Drivers License Come and Discover Different at TJX.
