Marine Licensing Business Support Officer (AO):
The Business Support Officer (AO) for the Marine Licensing Team will play an integral role in the smooth running of the team providing day–to–day administrative support. You will have a range of responsibilities supporting the delivery of training, recruitment and providing administrative support to the Marine Licensing Team to ensure the operational delivery of marine licensing ministerial and business targets.
This includes undertaking administrative checks to validate new applications, helping to manage the team email mailbox, answering general queries from the public and customers both on the helpline and through email. You will help the team with booking meetings, travel and accommodation, team communication and note taking. You will ensure effective document management (including SharePoint sites) and accurate record keeping. You will provide finance support including budget management, ordering equipment such as stationery etc.
Key tasks, accountabilities and responsibilities:
Ensuring success factors & key performance indicators are achieved.Ensuring accurate records are kept and updated accordingly.Undertake the Initial assessment and validation of new casework applications to ensure appropriate documents supplied and fee estimate can be providedYou will issue and receipt of fees and paymentsUndertake Time recording administration (CoreTime)Support the operation of MCMS – Case Management database, data input and reporting.You will manage the licensing enquiries e–mail boxYou will assist in the operation of the Marine Licensing general enquires line and be expected to answer initial telephone queriesYou will work with internal colleagues and applicants to provide support in relation to fee paymentsYou may be required to assist in responding to requests from the public, for information, licences enquiries and Access to Information (FOI)You will provide support and guidance to others (internally and externally) on licensing procedures and IT systemsYou will support the office administrative support duties (e.g. meeting prep)Your role will include supporting recruitment and the onboarding of new staff.You will support the technical training team and Supporting training and contribute to work needed for the licensing team to improve services
