Brook Street are currently recruiting for a PA to work for a government client.Location: Didcot, OX11 0FAThis is a temporary Role until end of February to cover sick leave.This is full time hours, 37 hours a week, Monday to Friday-flexible with hours between 8-5Hybrid working can be arranged 2 days a week working from home.Parking at location is available Pay rate is GBP16.60 per hour-Paid weeklyStart date: ASAPJob role:Executive Assistant to the Director of NQCC and provide administrative support the Senior Team. Supporting the Director in all aspects of their role, which includes acting as a figurehead for the Laboratory, strengthening strategic partnerships with key national and international organisations, taking oversight responsibility for the office, and acting as senior host/contact for high-profile visits. You will also provide secretarial support for high-level external boards as well as various other internal committees and strategic management groups. Your responsibilities include but are not limited to: " Providing comprehensive secretarial and administrative support to the Director of NQCC, including but not limited to arranging and minute taking at meetings, ensuring actions have been addressed & ensuring the Director is fully briefed " Being responsible for email correspondence ensuring that relevant emails are brought to the Director's attention; when appropriate, dealing with correspondence on their behalf, or working with their team to draft a response " Being responsible for managing sophisticated diary arrangements and prioritising meeting attendance; identifying when another team member can step in and cover when vital; looking for solutions to ensure that time is used efficiently " Coordinating travel and managing expense claim " Management of sensitive documents ensuring they are archived as appropriate " Procuring goods and services as required, processing expenses and monitoring spend " Be the Single point of contact for department resourcing and recruitment activities with HR and UKSBS. Ensure recruitment activities are efficiently and proactively managed, that they are completed in timely manner by the relevant manager and follow up any issues" Coordinating & organising visits to NQCC which are often high-level and strategically important in the representation of STFC to external visitors. This includes liaison with the visitors, negotiating dates, arranging suitable participation, working with stake holders to define the agenda & itinerary for tours and arranging all logistics. Experience:Must Have previous PA experience or very strong experience in this field.
